Employment Specialist

Parkview Health Fort Wayne, IN (Onsite) Full-Time

Summary

The Employment Specialist is responsible for ensuring organizational compliance with federal and state employment authorization and background investigation regulations. Focuses on I-9 employment eligibility verification, visa work authorization tracking, and non-employee (Traveler, Contractor, Business Associate) compliance. Collaborates across all departments to maintain legal and regulatory compliance while supporting operational efficiency and risk mitigation. Plays a critical role in maintaining a safe and legally compliant environment for patients, staff, and the broader healthcare community.

Key Responsibilities:

I-9 Employment Eligibility Verification: Ensures timely completion and reverification of Form I-9. Conducts internal audits of I-9 records to ensure ongoing compliance. Purges eligible I-9 records. Stays current on updates to E-Verify and federal employment eligibility regulations.

Visa and Work Authorization: Monitors work authorization status for foreign national employees and ensure timely renewals. Collaborates with legal counsel and external immigration partners to support visa processes (e.g., H-1B, OPT, STEM OPT, J-1). Maintains accurate and confidential records of visa documentation and expiration timelines. Provides guidance to hiring managers on work eligibility for visa holders.

Non-Employee Compliance: Coordinates onboarding compliance for non-employees including Traveler, Contractor, Business Associate. Ensures appropriate documentation (e.g., background checks, confidentiality agreements) is collected and maintained. Develops and maintains non-employee tracking systems and review access at regular intervals.

Qualifications 

  • Bachelor's degree in Human Resources, Business Administration, or a related field required.
  • 5+ years of experience in HR compliance, immigration, or employment operations required.

  • Experience with I-9 and E-Verify systems required.

  • Strong knowledge of federal employment and immigration laws.

  • Exceptional attention to detail and organizational skills.

  • Ability to manage multiple deadlines and maintain accurate records.

  • High level of confidentiality and discretion.

  • Proficiency in HRIS systems and document management tools.

  • Excellent communication and interpersonal skills.

  • Familiarity with U.S. immigration processes strongly preferred.
